With all that has happened so far in 2020, most real estate agents find themselves working from home more than ever, and having to do much of their work virtually. Working from home is nothing new for real agents, we’ve been doing it for many years. We’re used to working out of our cars, coffee shops, or wherever we are when we receive a call or email. Most agents have a home office already set up and available to use when home, but there are ways to stay focused and on task with helpful tools to utilize when working remotely.
Starting the day with the right attitude will assist with a productive day so it’s important to get dressed, not work from the bed, and have a designated work space. It doesn’t matter where the work space is just as long as it allows the separation from personal life to work life. If a separate office is not possible, a desk is the next best thing. If space or money doesn’t allow for either, an office can be set up anywhere, a dining room or kitchen table, a breakfast bar, a corner, or even a closet can work. Any flat surface where a computer can be placed will work and an organizational system will help manage files and paperwork.
Keeping a regular schedule helps with efficiency. Creating specific work hours allows clients and more importantly those in the home, to understand availability. As real estate agents, there’s a lot of unpredictability on when a client will call, when an offer will come in, or when a buyer wants to see homes which means it can be difficult to plan the day. However, scheduling blocks of time allocated for certain tasks such as returning calls, website updates, sending out marketing emails, or posting on social media, provides an important guideline during those times when there is no other business coming in. Remember, working from home doesn’t mean working at all hours, stick to a routine and manage distractions. Distractions are the biggest obstacles when working from home. Family, pets, news, household chores, and even neighbors can be a distraction. Set boundaries and a schedule so that everyone in the home understands. Utilizing checklists can help stay on task. Having a clear idea of what needs to be done every day whether working from home or not, helps stay on track and be productive. It also allows to stay focused when distractions do occur, and don’t forget to take breaks. When the kitchen is only steps away, it can be tempting to visit it often. It helps to take designated breaks to eat, step outside, or run errands to break up any restlessness and allow for a fresh start when back at work.
Being able to work from home has never been easier with the capability to create and sign documents online, video chat with clients, virtual tours, and social media. It helps to have a fast internet speed, a reliable computer or tablet, a copier that scans so that documents can be emailed, and the right apps and tools to run a productive real estate business. Being able to utilize social media, email marketing, and direct mail from your home is also easy. Facetime, Zoom, and Skype are vehicles that allow an agent to video chat with clients, service providers, or even other agents. There are tons of programs and apps that can help a real estate agent stay on track.
There’s no shortage of tasks to be done for any real estate agent to maintain and build a real estate business whether working at the office or from home.
1.Send out email marketing campaigns using companies such as Mailchimp, Constant Contact, or Active Campaign.
2.Mail out postcards, newsletters, or market updates – Canva or Vista Print can help.
3.Answer calls and emails – Keep track of calls in CRM.
4.Send out home anniversary cards to past clients – These can be printed at VistaPrint.com or ordered from places such as Curator4Realtors.com.
5.Create a strong social media presence – Make sure have a Facebook or Instagram Business Page.
6.Post regularly on social media business page – at least four times a week.
7.Update and organize contacts in Customer Relations Management (CRM) or start a CRM with places like Top Producer, Realvolve, and Wise Agent.
8.Transaction management – update all current or closed files with Dotloop, tcDocs, or SkySlope.
9.Update & maximize website or create a website at Squarespace, Weebly, or Placester.

11.Create & print pre-listing & buyer packets so have on hand when a call comes in.
12.Ask past clients for reviews via email, Zillow, Realtor.com, text, or call.

15.Update current listings & photos in the MLS.
16.Update listing brochures and fill brochure boxes.
17.Calendar or task management using apps such as Trello, Asana, or Flow.
18.Organize real estate photos on computer.
19.Create a Just Sold flyer or post for last 12 months – Canva or Vista Print can help.
20.Update Zillow profile – Make sure all reviews and past sales have been approved so they show up on the profile.
21.Create or post on a blog using SquareSpace or WordPress.
22.Update lockboxes through Supra.
23.Provide feedback on all showings by utilizing the feedback option on Supra or emailing or texting the listing agent.
24.Ask for feedback from showings via email or text.
25.Update or delete saved profiles in MLS with any client who hasn’t checked the listings in last 6 months.
26.Organize & clean out email to be ready for new business.
27.Shred old files or call a shredding company to shred files like ShredIt.
28.Review & update all expense accounts.
29.Update expense spreadsheets.
30.Update logo, if needed – these can be created in Canva.
31.Order new business cards, signs, & marketing materials, if needed from places such as BuildASign, Vista Print, or Any Promo.
32.Update service provider list to be able to offer to clients.
